Customer organizations control much of the information entered into EvalHero. Depending on the relationship and applicable law, EvalHero may process that information on behalf of the customer organization.

2. Information we collect

Information you provide

We may collect account details, organization name, role, contact information, support communications, survey responses, and customer content such as forms, evaluations, taskbooks, workflow records, comments, attachments, and signatures.

Information collected automatically

We may collect device and browser information, IP address, approximate location derived from IP, timestamps, pages or features used, authentication events, error logs, security logs, and audit events required to operate and protect the Services.

Cookies and similar technologies

We use essential technologies for authentication, security, session management, and preferences. Any nonessential analytics or advertising technology must be accurately disclosed before use.

3. How we use information

We use information to provide and secure the Services, authenticate users, process requested workflows, deliver support, send operational communications, improve reliability and usability, prevent abuse, comply with legal obligations, and enforce agreements.

4. SMS, OTP, and operational notifications

When a user provides a phone number and affirmatively opts in, EvalHero may send transactional messages such as one-time passcodes, demo or onboarding confirmations, pending-work reminders, and account notifications. Message frequency varies. Message and data rates may apply. Consent is not a condition of purchase. Reply STOP to opt out of eligible non-OTP messages and HELP for assistance.

EvalHero uses Telnyx and applicable telecommunications carriers to deliver messages and meet A2P 10DLC requirements. Information shared for this purpose may include phone number, consent records, message metadata, delivery status, and registration information required by carriers.

EvalHero does not sell mobile information or share it with third parties for their promotional marketing.

5. How we share information

We may share information with service providers that support hosting, storage, security, communications, support, and other authorized operations; when directed by a customer or user; in connection with a business transaction; or when required to comply with law, protect rights, or address security and abuse.

We do not sell personal information.

6. Data retention

We retain information for as long as reasonably necessary to provide the Services, follow customer instructions, meet legal and contractual obligations, resolve disputes, maintain security records, and enforce agreements. Retention may vary by data type and customer configuration.

7. Security

We use administrative, technical, and organizational measures designed to protect information. No system can be guaranteed to be completely secure. Security statements on this page must remain consistent with the current security program and customer agreements.

8. Your choices

Depending on your relationship, account permissions, and applicable law, you may be able to update account information, change notification preferences, request access or correction, or request deletion. Customer-controlled information may need to be addressed through the customer organization.

9. Children’s privacy

The Services are not directed to children under 13, or the higher minimum age required by applicable law, and EvalHero does not knowingly collect personal information from children through a consumer-directed service.

10. Changes to this policy

We may update this policy. Material changes will be communicated through an appropriate channel, and the “Last updated” date will identify the current version.
